Quick answer: SpotOn’s published Restaurant POS terms say your POS and processing agreement is month-to-month and you can cancel at any time by emailing restaurant@spoton.com or calling (877) 814-4102 (weekdays, 9am–6pm Eastern). What you owe on the way out depends on your plan: leaving within one year of installation means paying the gap between what you paid for hardware and its full list price, and SpotOn’s general merchant terms can require the remaining monthly subscription fees if you end a contracted term early.

This is a practical guide, not legal advice. SpotOn terms differ by product and by when you signed. Your order form, fee summary and processing agreement decide what you owe. Get every number in writing before you stop using SpotOn.

Most people look this up when fees go up, support isn’t fixing a problem, or they’re not sure what a contract will cost to end. Here’s what SpotOn’s own published terms say, who to contact, and how to close things out without surprise charges.

Step 1: Know Who to Contact

SpotOn sells several products, so start with the one you actually use.

  • SpotOn Restaurant POS: SpotOn’s Point of Sale Terms say to request cancellation by emailing restaurant@spoton.com or calling (877) 814-4102 Monday–Friday, 9am–6pm Eastern.
  • Other SpotOn services and general account questions: SpotOn’s Contact Us page lists support@spoton.com and the same (877) 814-4102 number, with a keyword menu (for example “My Account” for bank changes). Restaurant Management support is listed as 24/7.

When you reach out, include your name, business name and phone number, as SpotOn asks, and keep your Merchant ID handy.

Step 2: Know Which Agreements You’re In

A SpotOn setup can involve more than one agreement. Check each one.

1. Restaurant POS terms

SpotOn says the Restaurant POS and processing agreement is on a month-to-month contract you may cancel at any time. But hardware matters: cancel within one year of installation and you pay the difference between your initial purchase amount and the full list price of the hardware. Cancel after one year and SpotOn says you own the equipment and only need to give notification.

If you want to keep your SpotOn Restaurant system but use a different payment processor, SpotOn’s terms list a $995 conversion fee and say your software license costs double.

2. SpotOn Merchant Terms

SpotOn’s general merchant terms say that if you end the contract or a service for a reason SpotOn’s terms don’t specifically allow, such as a SpotOn breach or a fee change you don’t accept, you can owe the fees for the remaining monthly subscription months of any service term you signed. You’re also responsible for returning or buying any hardware SpotOn loaned, rented or leased to you. Hardware you rent or lease stays SpotOn’s and must be returned within 15 business days, and if you terminate within two years of the effective date, you may be charged the difference between the list price and the discounted price on hardware you bought. If SpotOn materially breaches the contract and doesn’t fix it within 30 days of your written notice, you can terminate.

3. Card processing agreement

SpotOn’s Merchant Terms say your processing terms are identified on your Merchant Application, and can be an agreement with SpotOn or directly with a processor. One agreement SpotOn posts is an older TSYS partner form naming First National Bank of Omaha. It describes a three-year initial term that renews for one-year periods, with at least 30 days’ written notice before a renewal to stop it, or 30 days’ notice plus an account closure fee. The form doesn’t state the fee amount, and SpotOn’s site now lists Merrick Bank and Wells Fargo as its sponsor banks, so check your own application to see which terms apply.

Step 3: Get Your Exit Numbers in Writing

Before you give notice, ask SpotOn to confirm in writing:

  • Which agreement and term you’re on (month-to-month or a set term) and your end or renewal date
  • Any hardware balance, meaning the gap between list price and what you paid, if you’re inside the first year
  • Any remaining subscription fees or an account closure fee in your processing agreement
  • Whether any hardware must be returned and how
  • Your last billing date, so nothing keeps charging after you leave

Step 4: Save Your Data Before You Close

SpotOn’s Merchant Terms allow you to download customer (User) data only during your active term and for your own internal business use, so export what you need before you close.

  • Sales and order reports: log in at dashboard.spoton.com, open Reports → Custom Views, create a view (for example the Orders Per Day template), set your date range, then click Download CSV.
  • Daily Recap: can be downloaded as an Excel (.xlsx) file from the Daily Recap page.
  • Retail catalog, customers and team members: SpotOn’s help center lists exports for these in the retail dashboard.
  • Menus, loyalty and anything else: ask SpotOn support what they can export before you close. Write down what you’ll need on day one elsewhere.

Step 5: Close Out Cleanly

  • Confirm the cancellation in writing with the effective date.
  • Handle the hardware the way SpotOn confirms: return it, or confirm that you own it.
  • Update your bank details only after final charges and deposits clear.
  • Check your next two bank statements for leftover SpotOn or processing charges.

A Practical SpotOn Exit Checklist

Before you call

  • Pull your order form, fee summary and processing agreement
  • Note your install date, plan type and hardware list
  • Find your Merchant ID and last billing date
  • Export reports and anything else you need

When you cancel

  • Request cancellation by email or phone and keep a copy
  • Get any hardware balance or closure fee in writing
  • Confirm the last billing date and equipment instructions
  • Make sure you can still take payments on day one after SpotOn
